This Privacy Policy explains how Holy Trinity Investments, LLC, a Texas limited liability company doing business as RepairAmigo ("RepairAmigo," "we," "us," or "our"), collects, uses, shares, and protects personal information through the repairamigo.com website and through the RepairAmigo software (the "Software"). Capitalized terms not defined here, such as Check-In, Appliance ID, Owner, Manager, Shop Data, and Remote Support Session, have the meanings given in the RepairAmigo End User License Agreement (the "EULA").
1. Who We Are and What This Policy Covers
RepairAmigo is free repair-shop management software. It is delivered as a virtual machine (VM) that a repair shop runs on its own computer and its own network. We do not host the Software or the shop's data.
This Privacy Policy covers:
- the repairamigo.com website, including its informational pages, FAQ, and download page;
- the information we receive from installations of the Software, as described in Section 2; and
- messages and requests you send to us.
This Privacy Policy does not cover the customer, repair, and sales data that a shop enters into the Software. That data stays on the shop's own VM, and the shop decides how it is collected and used. If you are a customer of a repair shop, please see Section 10.
For the Software, the EULA describes in more detail what the Software sends to us and how we handle it. If this Privacy Policy and the EULA conflict about the Software, the EULA controls, except where the laws of your country require otherwise.
For the information described in this Privacy Policy, we are the party responsible for deciding how it is used (sometimes called the "controller" or "data owner").
2. Information We Collect
Website visits and server logs. When you visit repairamigo.com, our web servers automatically record technical information, including your IP address, the date and time of the request, the page or file requested, the referring page, and your browser and device type. The website does not load fonts, scripts, or other content from third-party servers.
Cookies and visitor flow. The website uses cookies and similar browser storage, and it records how visitors move through the site. Specifically:
- The ra_vid cookie is a first-party cookie that holds a random visitor ID. It does not contain your name, email address, or account information. It is used only to link the pages viewed in one browser into a visit path, and it expires after 12 months.
- The RADL cookie is a strictly necessary session cookie that is set only on the download page, for the EULA acceptance and the human check. It is deleted when you close your browser and lasts no more than 12 hours.
- Your browser's local storage (ra_lang) remembers your language choice on your own device.
- When you dismiss the cookie notice, your browser's local storage keeps ra_cookie_ok=1 so that the notice is not shown again. It stays on your device and is not sent to our server.
For each page view we record the page address, the referring page, the date and time, your browser and device type, and your IP address, together with the visitor ID. On the download page we also record when you view the page, accept the EULA, and start a download. Page views are grouped into visits, and a visit ends after 30 minutes without activity. We use this information to prepare an internal report of how visitors use the website, such as which pages they visit, where they leave, and whether they reach the download. Only RepairAmigo administrators can see that report. We do not use third-party analytics services, advertising networks, or tracking pixels, and we do not sell or share this information. You can block or delete cookies in your browser settings, but the download page will not work without the RADL cookie.
Downloads, EULA acceptance, and human check. The Software can be downloaded only after you accept the EULA on the download page and pass a human-verification check that we run on our own servers. To prevent abuse, we limit the number of downloads from each IP address. For this purpose we process your IP address and the related request information, and we keep it in our server logs. We also keep a record of your acceptance of the EULA, which may include the date and time, the EULA version, and the IP address used. When the Software is first started and the EULA is accepted again in Setup, the Software registers with us, and we keep a record of that acceptance as well.
Check-Ins from the Software. After the EULA is accepted in Setup, the Software checks in with repairamigo.com about every 5 minutes while the VM is running and online. Each Check-In contains:
- the Appliance ID;
- the shop name;
- the VM's computer (host) name;
- the language setting;
- the software version;
- status and technical health information, such as uptime, system load, free disk space, and whether a Remote Support Session is open; and
- only for periods in which a fee applies under the EULA, the daily number of transactions and daily gross-revenue totals.
Our server also records the public IP address that each Check-In comes from and looks up its approximate city, region, and country through third-party IP-location services. The full list of Check-In contents is in Section 3A.1 of the EULA. Check-Ins contain no customer records. They do not include customer names or contact details, device passcodes, repair or sales details, inventory, staff passwords, or uploaded files (EULA Section 3A.2).
Support messages. An Owner or Manager can send us a help request from inside the Software. A help request contains the message written by the sender, the shop name, the Appliance ID, the role (Owner or Manager) of the user who sent it, and the Check-In details described above. Our replies and any follow-up messages form a support thread. A help request contains whatever the sender chooses to write, so please do not include customer information, passcodes, payment card data, or passwords unless the support truly requires it.
Remote Support Sessions. Remote access is off unless an Owner or Manager turns it on from inside the Software for a limited time. During a Remote Support Session, our authorized support staff can see the shop's data on the VM, which may include its customers' personal information and device passcodes. We handle that data only to provide the support requested, on the shop's behalf, as described in Section 8.7 of the EULA. Each session, including when it opens and ends, each login and command, and any file transfers, is logged on the shop's VM and on our systems.
Billing and fee records. If a fee applies under the EULA, we keep the records needed to calculate, invoice, and collect it, such as the shop name, Appliance ID, billing contact details, the daily totals described above, invoices, and payment status. Fees are paid through a third-party payment processor. Card details go directly to that processor, and we do not store card numbers.
Messages you send us. If you write to us, for example at legal@repairamigo.com, we receive your name, email address, and anything else you include in your message.
Connections to other services. The VM's operating system may connect to its vendors' servers for standard functions such as security updates and time synchronization. Certain components of the Software described in the EULA also connect to third-party services, and those services may receive the VM's public IP address. Please see the EULA for details. Those third parties handle that information under their own terms and policies.
3. How We Use Information
We use the information described above to:
- provide the website and the Software download, and keep a record of EULA acceptance;
- know which installations are running and on which version;
- provide support and Remote Support Sessions when an Owner or Manager requests them;
- determine whether a fee applies under the EULA, and invoice and collect any fee owed;
- protect the security of the website, the Software, and our systems, and prevent abuse, fraud, and misuse, including by enforcing download limits;
- understand how visitors use the website, through the visitor-flow report described in Section 2;
- fix problems and improve the website and the Software;
- respond to messages and requests;
- comply with our legal obligations; and
- establish, exercise, or defend legal claims and enforce the EULA and our Terms of Use.
We do not use this information for advertising, and we do not sell it.
4. Legal Bases
Where the laws of your country require a legal basis for processing personal information, we rely on one or more of the following, depending on the information and purpose:
- performance of the EULA and of steps you request before accepting it, such as downloading the Software, registering an installation, and providing support you request;
- our legitimate interests in operating, securing, and improving the website and the Software, understanding how visitors use the website, preventing abuse, and protecting our rights, where those interests are not overridden by your rights;
- compliance with legal obligations, such as tax and accounting rules; and
- your consent, where the law requires it. Where consent is required, you give it by accepting the EULA, by sending a help request, or by opening a Remote Support Session. You may withdraw consent at any time as described in Section 9. Withdrawal does not affect processing that already took place, and it may mean that we cannot provide the Software or support.
5. How We Share Information
We share personal information only as follows:
- Service providers that help us run our website, servers, and business, including a payment processor if a fee applies, under obligations to use the information only to provide their services to us.
- IP-location services, which receive the public IP address of each Check-In so that we can determine its approximate location (EULA Section 3A.1).
- Legal requirements and protection. We may disclose information if we believe in good faith that it is required by law or by a valid request from a court or public authority, or that it is needed to protect the rights, property, or safety of RepairAmigo, our users, or others, or to investigate possible misuse of the website or the Software.
- Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business or assets, information may be transferred as part of that transaction. We will require the recipient to handle it consistently with this Privacy Policy.
- With your direction or consent.
We do not sell personal information, we do not share it for advertising, and we do not allow advertisers to collect it through our website or the Software.
6. International Transfers
We are located in the United States. Information we collect through the website and the Software is received, stored, and processed in the United States, and may be processed by our service providers in other countries. The data-protection laws of those countries may differ from the laws of your country. Where the laws of your country require it, we take the steps they require for these transfers. By using the website or the Software, you understand that your information will be transferred to the United States.
7. How Long We Keep Information
- Check-Ins and support threads: for as long as the license is active plus 24 months. After that, we delete them and anonymize the appliance record.
- Remote Support Session records (when a session was requested and by whom, when it started and ended, and its status): for the same period as support threads, above. Technical access logs for the support connection: about 28 days.
- Billing and fee records, including the daily totals used to calculate a fee: 2 years after the day or billing period they cover, or longer where tax or other laws require it.
- EULA acceptance records: for as long as needed to prove that the EULA was accepted.
- Shop Data seen during a Remote Support Session: we do not keep it, and we delete any copies transferred off the shop's VM when the support is finished (EULA Section 8.7). Support threads, including anything the sender chose to write in them, are kept as stated above.
- Visitor-flow records (the visitor ID, page views, and download-page steps): 90 days. After that, we keep only overall counts that do not identify any visitor or browser.
- Web server logs: about 14 days. Download and human-check logs, and download records: about 90 days. One-time human-check codes: about 1 day. Email server logs: about 28 days.
- Messages you send us: for as long as needed to respond and to keep a record of the request.
We may keep information longer if needed to comply with the law, resolve disputes, or establish, exercise, or defend legal claims.
8. Security
We use reasonable administrative, technical, and physical measures to protect the information we keep. Check-Ins, support messages, and Remote Support Sessions travel over encrypted connections, and access to our systems is limited to authorized staff. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects information we hold, we will give the notices that applicable law requires. Each shop is responsible for the security of its own VM, network, and data, as described in the EULA.
9. Your Rights and Choices
Depending on the laws of your country, you may have the right to:
- know whether we process your personal information and get access to it;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your information;
- object to or ask us to restrict certain processing;
- receive a copy of your information in a portable format;
- withdraw consent where we rely on consent; and
- file a complaint with the data-protection authority in your country.
To make a request, email legal@repairamigo.com. We may need to verify your identity, or your authority to act for a shop, before we act on a request. We will respond as required by applicable law. We may decline or limit a request where the law allows, for example where we need the information to provide the Software, to collect a fee owed, to comply with a legal obligation, or to establish, exercise, or defend legal claims.
A shop can stop future Check-Ins and support messages by shutting down or deleting its VM and ending its use of the Software, as described in the EULA. An Owner or Manager can always choose not to send help requests or open remote access.
10. If You Are a Customer of a Repair Shop
Repair shops that use RepairAmigo keep their customers' information on their own VM. Each shop decides what information it collects and how it uses it, and is responsible for that information. We do not host it and cannot see it, except during support that the shop's Owner or Manager starts: a support message the shop chooses to send us, or a Remote Support Session the shop opens. In those cases we act only on the shop's behalf, as described in the EULA.
If you want to access, correct, or delete information a repair shop holds about you, please contact that shop directly. We cannot access or change a shop's records on its behalf outside of support the shop requests. If you contact us, we may refer you to the shop.
11. Text Messages
RepairAmigo has no texting service of its own, and texting is off by default. A shop may choose to connect its own account with an SMS provider. Messages then go directly from the shop's VM to that provider under the shop's own account. We do not send, receive, or store those messages. The shop and its provider are responsible for them, including any consent and opt-out requirements. If you receive a text message from a repair shop, please contact the shop.
The Software installed in a shop does not send email.
12. Children
The website and the Software are business tools for repair shops. They are not directed to children under 13, and they are intended only for people who are at least 18 years old. We do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us at legal@repairamigo.com, and we will delete it.
13. Links to Other Websites
Our website may link to websites we do not operate. We are not responsible for their content or privacy practices. Please review the privacy policy of each website you visit.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version on repairamigo.com with a new version number and effective date. For material changes, we will give reasonable notice, for example on the website, in the Software, or by email where we have your address. Changes take effect on the effective date stated in the updated version.
15. Language
This Privacy Policy is written in English, and a Spanish translation is provided. To the extent permitted by applicable law, the English version controls if there is any conflict or inconsistency between the English version and a translation.
16. Contact Us
For questions about this Privacy Policy or to make a privacy request, email legal@repairamigo.com.
Support for the Software is requested only from inside the Software.
