RepairAmigo ships as a virtual machine with sample demo repair orders for evaluation and training. Before first-run Setup, the default shop name is Demo Repair Shop. After you complete Setup, sample dates are shifted so they look current. That helps for practice—but those demo tickets, sales, and stock movements are not your shop's work.

When you are ready to run the free system with real customers, use Owner data reset to wipe the sample groups you choose.

Why clear the demo set

Leaving demo repair orders mixed with live work makes reports and RO numbering harder to trust. Plan a clean reset before go-live.

Two built-in demo accounts—Demo Manager and Tech1—keep their passwords until someone changes them under Users. Change those passwords or remove the accounts so only your team can sign in.

Tip: export before you reset

Owner data reset cannot be undone. Before you clear anything:

  1. Sign in as Owner.
  2. Open Main menu → MANAGEMENT → OWNER ONLY → EXPORT DATA.
  3. Save the export somewhere safe (see Backing up repair shop data).

Step-by-step: open Owner data reset

  1. Sign in with an Owner account.
  2. From the main menu, open MANAGEMENT.
  3. Open OWNER ONLY.
  4. Choose OWNER DATA RESET. The page title is Owner data reset.
  5. Enter the Owner password again when prompted.
  6. Read the confirm dialog: This cannot be undone. Continue? Confirm only when you are sure.

You need the Owner role. Manager or Technician logins do not open Owner-only tools.

What each checkbox removes

Pick any combination. Nothing runs until you confirm.

  1. Repair orders (ROs) and related records — Removes repair orders and their customers, status history, repair commissions, inventory exceptions, warranty records, and mass email campaigns. RO numbering resets to the configured starting number.
  2. POS sales and cash activity — Removes POS sales, refunds, register cash, safe, sales commissions, and expenses.
  3. Inventory — Removes parts and screens in stock and every stock movement.
  4. Devices for sale — Removes devices for sale plus their notes and history.
  5. To-do list — Clears the to-do list.
  6. Users — Removes users except all Owner accounts, which are kept. Still change or remove Demo Manager and Tech1 under Users if those accounts remain.

What is always kept

Even if you select every group, these stay:

  • Shop settings
  • Currency and tax
  • License acceptance
  • Price lists and labor rates
  • Problem, repair, and status lists
  • Brands, models, and carriers
  • Referral codes
  • Message templates
  • Refund settings
  • Knowledge base
  • Owner accounts

You can clear transactional demo noise while keeping the setup you already entered.

Starting fresh for real shop use

  1. Export via EXPORT DATA (and keep a VM backup if you follow the backup guide).
  2. Open OWNER DATA RESET.
  3. Select all groups.
  4. Enter the Owner password and confirm that the action cannot be undone.
  5. Under Users, change or remove Demo Manager and Tech1.
  6. Confirm shop settings, currency, tax, price lists, and status lists still match how you work.
  7. Create your first real repair order and check that RO numbering starts where you configured it.

RepairAmigo remains free after you clear the sample data. Download RepairAmigo if you still need the VM, then return here when training is done.

Common mistakes

  • Skipping EXPORT DATA first.
  • Leaving Demo Manager and Tech1 unchanged.
  • Clearing only ROs but leaving demo POS or inventory—for go-live, select all groups.
  • Expecting shop setup to disappear; settings, lists, rates, and Owner accounts stay by design.
  • Trying the reset without an Owner login and the Owner password again.

After the reset

Check open repair orders, POS, inventory, devices for sale, to-do list, and Users. Transactional lists for the groups you cleared should be empty; shop settings and catalogs should still be there. Then take a fresh backup so your first real day has a clean restore point.
