Receipts

Phone repair receipt template: what to print at check-in and pickup

A customer comes back for their phone and says the back glass wasn't cracked when they dropped it off. Or they lost the slip and someone else is asking for the device. A good phone repair receipt settles both in seconds. It isn't paperwork for its own sake. It's the record you and the customer both hold while the device is in your shop.

This template works for cell phone, tablet, computer and console repairs.

Two receipts, two jobs

Most repair shops need two documents, and mixing them up causes most disputes:

  1. The check-in receipt (claim ticket). Printed when the device is received. It proves what the customer left, in what condition, and what you agreed to look at.
  2. The pickup receipt (payment receipt). Printed when the device goes home. It proves what was done, what was paid and when the warranty starts.

The detailed intake form your tech works from is a third thing, the work order. Its fields are covered in our phone repair work order guide.

Check-in receipt: the fields that matter

  • Shop name, address and contact email, so the customer knows where their device is.
  • Ticket number with a barcode, used to find the job and to release the device.
  • Date and time received.
  • Customer name and mobile number.
  • Device: type, brand, model, color, and serial number or IMEI.
  • Reported problem, in the customer's words.
  • Condition at check-in: cracks, dents, missing buttons, whether it powers on. See documenting damage at intake.
  • Accessories left: case, SIM tray, charger, stylus. "None" is an answer too.
  • Quote or diagnostic charge, and any deposit taken. Our deposit policy guide explains when to ask for one.
  • Estimated ready date.
  • Short terms (below) and a line for the customer's signature or initials.

Pickup receipt: the fields that matter

  • The same ticket number, so both receipts tie to one job.
  • Repair performed and the part used (for example, "screen replaced", with the part name you use in inventory).
  • Technician who did the work.
  • Price, tax, deposit applied and balance paid.
  • Pickup date, which is usually when the warranty starts.
  • Warranty terms: how long, and what they cover.
  • Who picked it up, if it wasn't the customer who dropped it off.

Short terms worth printing

Keep them plain and short enough that people actually read them. Common ones:

  • Devices are released only with the receipt or matching ID.
  • We are not responsible for data. Back up your device before repair when you can.
  • Devices left more than a set number of days after we call may be handled under our unclaimed repairs policy.
  • Water-damaged devices may get worse during or after repair.
  • The warranty covers the part and labor we provided, not new damage.

Rules on deposits, unclaimed property and warranties differ by state and country, so check yours before you print them.

The pickup receipt uses the same header and ticket number, then lists the repair, the part, the tech, the payment and the warranty.

Paper book, PDF or printed from your software?

A carbon receipt book works for your first repairs, but it can't be searched. You can't look up an IMEI or a phone number from three months ago, and handwriting fails when it matters. A fillable PDF is neater but still lives outside your records. Printing the receipt from your repair software means every field is already on the ticket, the barcode finds the job instantly, and the record stays searchable.

Mistakes that cause disputes

  • Skipping the condition notes because "it looks fine."
  • No serial number or IMEI, so you can't prove which device was left.
  • Writing "screen" instead of the actual problem the customer described.
  • Releasing a device without the receipt or ID.
  • Warranty start date missing from the pickup receipt.
  • Fine print so long that nobody reads it.

Quick checklist

  • Two receipts: check-in and pickup, same ticket number.
  • Barcode on the check-in receipt.
  • Serial number or IMEI on every device.
  • Condition and accessories written down before the customer leaves.
  • Quote, deposit and ready date on the check-in receipt.
  • Repair, part, tech, payment and warranty on the pickup receipt.
  • Short, plain terms with customer initials.

How RepairAmigo helps

RepairAmigo is free repair shop software for cell phone, computer and console repair, built inside a busy repair shop that has processed more than 50,000 repair tickets. Made in Texas. Receipts come straight from the ticket:

  • Check-in receipt from the ticket. Type the customer's phone number, pick the device, brand, model and problem, record the serial number or IMEI, and print the receipt.
  • Returning customers fill in by themselves, found by phone number, so receipts aren't retyped.
  • Warranty tickets link to the original repair and have their own receipts.
  • A built-in cash point of sale prints a sales receipt, with a notes field for anything extra you need to record.
  • Your records stay with you, stored on your own machine and searchable by receipt, customer or serial number.

It runs as a VirtualBox virtual machine on a Windows, Linux or Intel Mac computer in your shop, and your team uses it from any browser on the shop network. There are no ticket or user limits. A full Spanish edition is available.
