Tracking repairs

Tracking repairs in a phone shop: a ten-minute morning routine

Anyone at your counter should be able to say, for any device on the shelf, its status, who has it, what's been done, and when it was promised. Here's a routine that gets you there.

Set up once

  • One ticket number per device, on the device bag and on the customer's stub.
  • A short status list. Owners and managers can edit statuses in RepairAmigo; critical ones stay locked.
  • An assigned tech on every ticket. It also makes commission tracking straightforward.
  • Parts logged to the ticket they went into. See parts inventory tracking.

Every morning

  1. Sort by promised date and flag anything late. Call those customers before they call you.
  2. Check "waiting on customer" tickets older than two days.
  3. Confirm every "waiting on parts" order is actually ordered.
  4. Remind customers about devices that are ready but not picked up; apply your unclaimed repairs policy when needed.

Keep customers informed

RepairAmigo can text customers at intake, on status changes, and at pickup through your own Twilio account. Each template can be edited or switched off.

Why not a spreadsheet?

Spreadsheets filter well but don't print barcoded tickets or connect to inventory and the cash drawer. RepairAmigo is free, runs on a computer in your shop, and stores records on that machine. Download it or read about quoting turnaround times.
