This guide is for cell phone, computer, tablet and console repair shops. It covers what tracking software should do, where paper and spreadsheets fail, and how to judge a tool before you switch.
What repair tracking software is
Repair tracking software keeps a live record of every device from drop-off to pickup. Each job has a number, a status, an assigned person and a history you can open later. The counter, the bench and the owner all look at the same screen, so nobody is working from a sticky note that only one person saw.
It is closely related to a repair ticketing system and to repair order software. Tracking is the day-to-day use of those records: status changes, searches and customer updates. For a morning-routine checklist, see tracking repairs in a phone shop.
The questions the software must answer
Before you pick a tool, write down the questions your counter already gets. Good repair tracking software should answer them in seconds:
- Where is this phone right now? On the shelf, on a bench, waiting on parts or ready for pickup.
- Who has it? Named technician or counter person, not "someone."
- What did the customer say was wrong? In their words, plus condition at intake.
- What did we quote and when is it due? Deposit, price and promised date on the same record.
- What parts went into this job? So inventory and cost stay honest.
- Has this device been here before? Warranty or comeback history by IMEI or serial.
If a tool cannot answer those six, it is a notepad with a login, not tracking software.
Where paper and spreadsheets fall short
Paper tickets work until the shop gets busy. Then the tray fills up, handwriting is hard to read and the only person who knows where a device is left for lunch. Spreadsheets are better for a list, but they do not print a receipt with a barcode, they do not stop two people editing the same row and they do not deduct a screen from inventory when a repair is saved.
Common failure points:
- A customer calls and the counter digs through tickets for five minutes.
- Two techs work on the same "waiting" pile and miss what was promised today.
- A warranty return arrives and nobody can prove what was done the first time.
- Parts used never make it back into the stock count.
- After hours, nobody knows how many devices are still in the shop.
Tracking software does not replace good habits. It makes those habits visible to everyone at once.
Status and location of every device
Clear, short statuses beat long lists nobody updates. Typical steps are received, diagnosing, waiting on customer, waiting on parts, repaired and picked up. Each shop can name them differently, but the list should stay short enough that staff actually change the status when the device moves.
Location helps too: which shelf, which bin or which technician's tray. When a "where's my phone?" call comes in, the counter searches by phone number, ticket number or IMEI and reads the status out loud. That is the job of tracking software.
Who is working on what
Assign every open job to a person. Owner, Manager and Technician roles help here: the tech sees their queue, the manager sees stuck jobs and the owner sees the whole shop. Without assignment, jobs sit in a shared pile and the urgent ones get buried.
A board or queue view of open tickets by status or by tech turns "I thought you had it" into a list you can clear before close.
Customer updates without phone tag
Customers call when they do not know the status. Tracking software should make a status check fast at the counter. Optional text updates cut the call volume further: when a job moves to ready, the customer gets a message instead of waiting on hold. RepairAmigo supports optional Twilio text updates; see Twilio SMS setup for repair shops.
You still need a clear promise at intake. Tracking software records that promise; it does not invent one.
History: warranty, comebacks and IMEI
Tracking does not end at pickup. When a device comes back, you need the first ticket: what was repaired, which parts were used and when the warranty started. Search by IMEI or serial so the second visit links to the first. See IMEI tracking for repair shops and warranty repair tickets.
That history also protects the shop. If a customer disputes what was done, the ticket shows the problem reported, the work performed and the receipt they signed at drop-off.
Quick checklist
- Every device has a unique ticket number from intake to pickup.
- Status and assigned person are visible to the whole shop.
- You can find a job by customer phone, ticket number or IMEI in seconds.
- Parts used are recorded on the same ticket and leave inventory.
- Warranty and prior visits are searchable, not filed in a drawer.
- Customer updates are easy at the counter (and by text if you want).
- Roles limit who can change prices, delete tickets or export data.
- You can back up the entire system and keep a copy off the machine.
How RepairAmigo helps
RepairAmigo is free repair shop software for cell phone, computer and console repair shops. It was built inside a busy repair shop that has processed more than 50,000 repair tickets. Made in Texas.
- Runs in your shop. RepairAmigo runs as a VirtualBox virtual machine on a Windows, Linux or Intel Mac computer. Your team uses it from any browser on the shop network, on desktop or mobile. Data stays on your own computer and network.
- Intake to pickup. Counter intake or intake by phone. Device, brand and model pickers, problem lists per device type and returning customers found by phone number. Each check-in prints a receipt with a barcode.
- Live status and roles. Technicians record the repair performed, a status and comments. Owner, Manager and Technician roles keep each person on what they need. No ticket or user limits.
- Parts and POS. Screens by model, quality and color, plus batteries, ports, cameras and more. Parts deduct when a repair is saved. Built-in cash POS at pickup. Warranty link per repair.
- Optional texts. Twilio text updates when you want customers notified without a phone call.
- Your data. Back up the entire VM and run it on another computer as easily as you installed it.

FAQ
What is repair tracking software?
It is software that keeps a live record of every repair job: ticket number, status, who has the device, parts used and history you can search later. The counter and the bench share the same view.
Is repair tracking software different from a ticketing system?
They overlap. A ticketing system creates the job record. Repair tracking is how you use that record day to day: status, assignment, search and customer updates. Many shops use one tool for both.
Can I track repairs with a spreadsheet?
You can start that way. Spreadsheets do not print barcoded receipts, do not deduct parts automatically and do not stop two people editing the same row. Once the shop is busy, dedicated tracking software is usually faster and safer.
Is there free repair tracking software for phone shops?
Yes. RepairAmigo is free and runs on your own computer. It covers intake, tickets, inventory, cash POS and warranty links with no ticket or user limits.
